[Time-Management] 100 Days Improvement Plan!

Day 39

16th Aug 2011

Success is a result of systematic application of efforts in a disciplined way. We need to be organised to handle difficult projects tactfully and smartly. More work does not mean more time. More work means more planning and systematic scheduling so that we can accomplish the same with less time.

We need to have a daily, weekly and monthly menu. For example:

·         Daily jogging for 20 minutes

·         Daily reading for one hour

·         Daily meditating for thirty minutes.

·         Weekly cleaning of the kitchen

·         Weekly once visiting our parents

·         Weekly once visiting our place of worship

·         Monthly balancing our bank account

·         Monthly checking our weight

·         Monthly evaluation of our projects on hand.

We can also have an yearly calendar like renewing our insurance policy, filing our tax return etc. This habit may appear to be simple, but calls for a high mental discipline, especially the daily and the weekly.

Today, why don't you start by identifying one item in each of the above category and try it out? Over the next few months you can get even more organised!

Day 38

15th Aug 2011

We have to use technology to enhance our productivity without becoming a slave to technology. We should control technology not allow technology to control us. Check if you are a slave to technology:

  • Do you feel restless if you don't have your mobile for one hour?
  • Do you feel upset when the lift does not work?
  • Do you mess up your morning if your alarm does not go off at the time set?
  • Are you immobilised if there is no fuel available for your vehicle?

If the answer to the above questions is `yes', you may be a slave to technology!

Why not learn to live without technology? Refuse to be paralysed if technology lets you down. Try these simple exercises to build your self confidence:

·         Try to remember telephone numbers and dial without using the phone memory.

·         Try to do simple calculations without using a calculator to know what is four times four!

·         Don't lift your mobile phone every alternate hour.

·         Climb the stairs one day every week and don't use the lift.

Try this from today!

Day 37

12th Aug 2011

Time is a limited resource and you cannot do everything by yourself. You need the help of others to grow into higher responsibility. For this, you need to develop your people. You should graduate from doing to supervising and managing others. The difference between supervising and managing lies in the number of people for whom you take the responsibility. That is why there are supervisors and managers in an organisation.

Today you take a person who works under you. It could be your subordinate, your son or daughter whom you want to develop. You should have a plan of action to develop them taking them through the following stages:

  1. Look into this problem and give me all the details and I will decide.
  2. Think and discuss with me the alternatives for me to decide.
  3. Think of alternatives and recommend course of action.
  4. Check with me and act.
  5. Keep acting until I say `no'.
  6. Keep me informed.
  7. Tell me only when your actions do not produce results.
  8. Take over from me!

From today, take the people development portfolio seriously!

[Time-Management] 100 Days Improvement Plan!

Day 36

11th Aug 2011

A normal day is a day full of interruptions. But certain tasks deserve our undivided total attention. Choose a very important task which will make a huge difference in your life and give it a `VVIP Status'.

Supposing a very important person is visiting your house. Will you not take all the efforts to give him total undivided attention? You will plan your day in such a way that you allocate all the time for that person. You should do the same with reference to the most important task on hand.

Supposing you are writing a book, which you know will be a big hit. Reserve the whole day only for this task. Lock yourself in a room and write. Don't see the television, switch off the mobile phone, don't lift the landline. Do whatever. You are just not available, period! You should not speak anything else except in connection with the book. Whenever you are interrupted, say to yourself `back to work, back to work' and get back to the task.

Try this out this week and see your own improvement! You will be amazed!

Day 35

10th Aug 2011

There is a difference between task and activity. We think about an activity like walking, jogging, reading, running, etc. Time is like a container and the content is the activity. For example you fill up your time with running, writing, reading etc.

Effective people think not in terms of activities, but in terms of tasks. A task is a result you want to achieve by doing an activity. For example, jogging is an activity. But why do you jog? To reduce your weight? Then don't say that you are jogging, but say that `in the next three months, I will reduce my weight by three kilo grams'.

By shifting your focus from activity to task or result, the activity will become more meaningful. Perhaps you will be able come out with alternatives. For example, if you want to reduce weight, instead of jogging, perhaps you can do yoga, or use a threadmill etc.

From today, keep asking the question: `why am I doing what I am doing and what is that I want to achieve by doing this? Is there an alternative?'.

Try this from today!

Day 34

9th Aug 2011

Do you appreciate and praise others? It is an important quality which builds good relationship. We like to be appreciated and we like people who appreciate us. But, most of us are not good in appreciating others. When you appreciate someone, both you and the other person feel happy. Great people are very happy and comfortable to notice and appreciate good things in others. They don't feel jealous about others' achievement and good work.

From today, notice good things in others. You can appreciate simple things such as a neat dress, a smile in the face, something very special and unique in others.

Make a list of people whom you know. Some others may be away. Against each person, list one thing you like most. It could be their handwriting or they may have some special skill such as a sense of humour. After making this list, wait for the first opportunity and appreciate them. You may send a card or an sms or an e mail.

Do it tactfully. Be careful to do it naturally and without flattering! This will win good inter personal relationship.
